Is Microsoft 365 backed up?
It’s one of the most dangerous assumptions in business IT: “it’s in the cloud, so it’s backed up”. The reality is more nuanced — and getting it wrong can mean losing data for good.
Microsoft 365 is brilliant, and it’s genuinely resilient — your email and files won’t vanish because a hard drive failed in a data centre. But “resilient” and “backed up” are not the same thing, and the gap catches a lot of businesses out.
What Microsoft actually protects
Microsoft operates under a shared responsibility model. They guarantee the platform: the infrastructure, uptime and protection against their own hardware failures. That’s it. The data inside your tenant — your emails, files, Teams chats — is your responsibility.
Microsoft keeps the service running. Protecting your data from accidental deletion, malicious insiders, ransomware and misconfiguration is down to you.
Where the gap bites
- Accidental deletion. Deleted items sit in the recycle bin for a limited period — then they’re gone. If someone deletes a mailbox or a folder of files and you don’t notice for a few weeks, recovery may be impossible.
- Malicious deletion. A disgruntled employee — or an attacker in a compromised account — can delete data deliberately.
- Ransomware. Modern ransomware targets cloud files too. Without independent backup, encrypted data may be unrecoverable.
- Retention limits. Default retention periods are shorter than most businesses assume, and they’re not designed as a backup.
“But there’s a recycle bin and version history?”
Those are useful safety nets for day-to-day mistakes, but they’re time-limited and can be bypassed or exhausted. They are not a substitute for a proper, independent backup that lets you restore data from any point, weeks or months later.
